Administrative Assistant part time- Troutdale Historical Society

Hours: 15 hours/week
Salary: $14.75/hour

The Administrative Assistant (AA) works closely with the Executive Director (ED) to assist in the management and operations of the Troutdale Historical Society (THS).
The planning, organizing of the operational, and programmatic aspects of THS and its museums as outlined below.

Duties and Responsibilities

  • Barn Store Gift Shop: Maintain and train on store procedures regarding cash register and credit card terminal. Order inventory and set pricing; establish sales/discounts with direction from the
  • Treasurer. Coordinate with the 3M Committee to design and implement new products. Conduct semi-annual inventory of all products and books.
  • Correspondence: Respond to telephone and email requests, expediting communications among members, volunteers, officers and board members by copying/relaying messages in a timely and professional manner.
  • Donations: Send letters to acknowledge donations and monetary gifts.
  • Marketing: Maintain press releases list & email press releases as needed to inform public and promote events; email event/program notices; maintain web site; regularly update social media sites - Facebook, LinkedIn, Pinterest, and Google Business, etc. Work with 3M Committee on strategies to increase exposure to the public.
  • Members & Contacts: Maintain data base of all members and contacts; send welcome, renewal and overdue letters; work with 3M Committee on strategies to increase membership, creating incentives to become members.
  • Tour Group: Coordinate extra volunteers during tours as needed. Establish communication and develop relationships with tour companies and schools.
  • Volunteers: Recruit, coordinate, and manage volunteers. Schedule volunteers as needed for museum docents. Coordinate with Volunteer Committee regular training sessions and appreciation parties. Maintain the water and snacks for volunteers.


  • Preferably Bachelor’s degree in related field or experience.
  • Use accepted and correct English language skills in writing and speaking
  • Proficiency in the use of Word, Excel, Google Docs, Google Calendar. Experience in Past Perfect software desired.
  • Experience with retail sales preferred
  • Competence in the use of email systems
  • Ability to work without supervision
  • Competence in basic mathematics for a work environment
  • Professional manner in speaking & conduct
  • Experience in graphic design & layout desired
  • Basic knowledge of computer technology required
  • Ability to follow written and oral directions in an accurate and timely fashion
  • Must have organizational skills to multi-task and coordinate with many individuals
