Position: Business Specialist
Hours: 20 per week
Status: Permanent, Part Time
Schedule: Flexible schedule/additional hours may be required during certain special events

Reports to: Executive Director

This position manages the fiscal and accounting tasks of the Aurora Colony Historical Society, facilitates the day-to-day operations of the Museum (including technology), supports the Board of Directors and Executive Director, and assists in the implementation of Farm and Village programs and ACHS events.

Job Duties and Responsibilities

Manage ACHS finances:
o Manage fiscal and accounting transactions according to ACHS internal financial controls policies o PreparebudgetreportsforBoardmeetings
o Work with ACHS bookkeeping/accounting services to ensure payroll, tax and legal documents 
are filed correctly and on time

o Keep insurancepoilicies, permits and payments current 

o Collect, record and deposit rental payments
o Report tenant-related issues to Executive Director/Board

 Manage ACHS, Museum & Board operations:
o Post and maintain current government employment posters
o Order and maintain supplies
o Arrange for routine maintenance of Society properties
o Serve as primary staff contact for third party use of Society properties
o Maintain and update “The Book” and Society records for the Board
o Carryout Executive Director, Board and committee directives in support of ACHS business as 

Manage ACHS technology resources:

o Procure, maintain and support ACHS computers, networks, software licenses, printers, phone systems, security systems, and associated technology

o Recommend needed technology modifications or enhancements to the Board 

o Train and assist staff and volunteers in use of current and new technology
o Update assigned areas of ACHS website
o Execute weekly computer system back-ups

 Assist with programs and events:
o Implement booking for Farm and Village programs, communicate with schools to create a 
schedule, manage and record payments from schools, and communicate with Volunteer, Farm and Village Coordinators regarding group size and any special needs or considerations 

o Assist with special events throughout the year

Assist with communications:
o Assist with collection of newsletter articles from staff and Board
o Coordinate printing
o Execute bulk mailings according to Post Office regulations
o Arrange with Volunteer Coordinator for volunteer assistance with bulk mailings and other 
clerical tasks
